How Much Does Commercial Coffee Machine Rental Cost in New Zealand?

13jpg 15570

The short answer

Commercial coffee machine rental in New Zealand typically runs from $50 per week for an automatic bean to cup machine suited to an office, Servicing is included in a Segafredo rental, which is the single biggest variable when comparing quotes.

What drives the price

  1. Machine type and size

An automatic bean to cup machine for a 20 person office and a three group traditional machine for a high volume cafe are different pieces of equipment at different price points. Group count is the main driver on traditional machines: see the one, two and three group range for the options.

  1. Term length

The weekly rate is the same on a 24 month and a 36 month agreement when you rent a commercial coffee machine with Segafredo, so a longer term does not necessarily buy you a lower price. Choose the term that suits how long you expect the site to need the machine, not as a way to cut the rate.

  1. Coffee volume

This is the factor most operators underestimate. If you commit to a regular coffee supply volume, the equipment can be funded through the coffee order rather than a separate rental payment. At sufficient volume, a free on loan arrangement removes the rental cost altogether.

  1. What is bundled in

A rate with servicing included is not comparable to one without it. Neither is a rate that excludes breakdown cover or a replacement machine.

What is included in a Segafredo rental

  • All servicing, at no additional charge
  • Preventative maintenance visits in the main centres
  • 24 hour servicing turnaround in Auckland, Wellington and Christchurch
  • Overnight courier replacement machine for customers outside those areas
  • Staff training on operating and caring for the machine
  • Next day coffee delivery nationwide, same day in Auckland and Christchurch

For comparison, if you own your machine outright a single service booked into our coffee machine service centre in Auckland starts at $165 including GST and excluding parts, recommended every 12 months or every 8kg of coffee. On a rental that cost is nil.

Working out the real cost per cup

Weekly rate on its own is a poor comparison tool. Cost per cup is better, because it accounts for how hard the machine actually works.

Weekly rental divided by cups served per week = equipment cost per cup

Work out the cost per cup, not the weekly rate

Weekly rental divided by cups served per week gives you the equipment cost per cup. It is the only number that lets you compare two quotes fairly.

A machine at $68.95 per week serving around 530 cups works out at 13c a cup in equipment. Add 98c for the coffee and the all-in cost is $1.11 a cup.

The same machine serving 1,500 cups a week drops the equipment share to under 5c, taking the all-in cost to about $1.03. Nothing about the agreement changed. Only the volume did.

This is why a slightly larger machine on a slightly higher weekly rate is often the cheaper decision for a growing site, and why rate shopping without volume context leads people to the wrong answer. A cheaper machine that caps your throughput costs you more per cup, not less.

Add your coffee cost per cup on top, using your actual bean price and dose. Our ground and whole coffee beans are priced per kilogram, and free delivery applies on orders over $50.

Costs that sit outside the rental

  • Coffee, which is the largest ongoing cost and the one that scales with volume
  • Milk, cups, lids and sundries
  • Water filtration and replacement filters, which protect the machine and matter more in hard water areas
  • Cleaning products, tablets and descaler. See coffee cleaning supplies
  • Parts, where a repair falls outside the agreement

How to compare quotes properly

Ask every supplier the same five questions. Differences here matter more than the headline weekly rate.

  • Is servicing included, and how often is the machine serviced?
  • What is the response time if the machine stops, and do I get a replacement?
  • What is the minimum term, and what happens at the end of it?
  • Is there a coffee volume commitment attached to this rate?
  • What is excluded? Parts, filters and consumables are the usual answers.

Frequently asked questions

How much does it cost to rent a coffee machine in NZ?

Rates typically run from $50 a week. Servicing is included in a Segafredo agreement.

Is servicing included in coffee machine rental?

With Segafredo it is, at no additional charge. Compare this carefully against other quotes, since an owned machine needs a service every 12 months or 8kg of coffee, starting at $165 including GST.

Can I get a coffee machine for free?

At sufficient coffee volume a free on loan arrangement places the machine at no rental cost, funded through your coffee supply instead. It depends on your weekly volume, so it is worth asking.

What is the minimum rental term?

Agreements usually start at 24 months.. Longer terms do not reduce the weekly rate.

Do I need a separate service contract?

Not on a rental. If you own your machine, a service plan through our service centre keeps it calibrated and compliant, including an electrical test and tag.
